Best Platform for Coaches (2026): Follow the Unsold Call
Every coaching platform books calls and takes payment. The difference is where a free call that doesn't sell lands. Six platforms, three coaches priced.

Most lists of coaching software read like the same grid with the rows shuffled. Booking pages, payments, email, a client area, maybe a course builder. Coachful's pricing page calls the goal "one place to run a coaching or creator business," and systeme.io's page for coaches ends on "Cancel the rest of your subscriptions." Both are pitching the same idea: fewer tools.
I'd judge them on a narrower test. Picture someone who books your free discovery call, shows up, and doesn't buy. That person is the reason the call exists: a name, an email address and a conversation about a problem you solve. The test is where their record lands when the call ends, and whether you can send them an email next month without paying for a second product.
That one question splits the field more cleanly than any feature grid. Once it's answered, the plan follows from two numbers you already know: how many kinds of session you offer, and how many people are on your list.
Where the booker lands
Each tool's own pages say what happens to a free booking. The table adds what you need before you can email the person who made it.
| Tool | Where a free booking lands | To email non-buyers later | Cheapest plan that takes a paid booking |
|---|---|---|---|
| systeme.io | A contact on your email list, on every plan | Nothing extra: email is in the same account | Free, for one event type |
| Calendly | A booking in Calendly | A separate email tool, connected on Standard ("Connect Hubspot, Mailchimp") | Standard, $10 per seat a month billed yearly |
| Coachful | Inside the platform, which also sends email | Nothing extra: "Email lists, broadcasts and newsletters" are listed | Lite, $29 a month for up to 5 clients |
| Thinkific | A coaching product inside the school | Email Automation, listed among Thinkific's marketing tools | Basic, $54 a month, with 5 coaching and webinar products |
| Podia | Inside Podia, with Podia Email | Podia Email, priced by subscriber count | Mover, $42 a month billed yearly, with 100 email subscribers |
| Paperbell | Inside Paperbell's client portal | Its feature list names "Client email workflows" | Its one plan, $97 a month |
So the first cut is simple. If you'd rather not pay for a scheduler and an email tool side by side, Calendly drops out unless you already run an email tool you're happy with. The other four keep the booker in the same account as your email, and the choice between them comes down to what each one charges for.
What each tool does with the booking
systeme.io. The booking calendar is on every plan, including Free. Its product page describes the flow in one line: once a slot is taken, "systeme.io sends a confirmation email to the client, adds a Zoom or Google Meet link to the invite, and adds the contact to your CRM." The same page puts it more briefly: new bookings become contacts. The help center splits events into two kinds. An individual event is one person per time slot; for a group event, "Multiple people can book the same time slot." To charge for a session you attach the event to a digital product on an order form and drop the Paid calendar element onto that page. The booking page's FAQ says "Payment collection at time of booking is also available on the free plan via Stripe or PayPal." Bookings themselves are listed as Unlimited on all four plans. What the plans ration is events: 1 on Free, 5 on Startup, 20 on Webinar and, in the table's word, Unlimited on the top plan.
Calendly. Free gives you "One event type." Standard, at $10 per seat a month billed yearly, lists "Unlimited event types," payments through Stripe and PayPal, and connections to HubSpot and Mailchimp. Its feature table lists the payment piece under Standard: "Collect upfront payments during the booking process using Stripe or PayPal." Calendly is a scheduler first. It does that job well, and it hands the follow-up to whatever email tool you connect.
Coachful. This is the closest thing to a coaching-specific systeme.io. Its plans list booking pages, paid sessions and packages, email reminders, a client home, and "Email lists, broadcasts and newsletters" with sequences. The price is set by active clients: Lite is $29 a month for up to 5, Solo $49 for up to 20, and Pro $99 with no client cap, as Coachful lists it. Annual billing saves 34%, per the toggle on its pricing page.
Thinkific. Thinkific is a course school that also sells sessions. Its comparison table describes Coaching and Webinars as "Live digital learning products that can be offered for free or for purchase," and caps them at 5 on Basic ($54 a month, or $40 billed yearly). Start, at $109 a month, lifts that cap.
Podia. Coaching is in Podia's "Everyone gets" list. Email is included up to a subscriber count: 100 on Mover, 500 on Shaker and 1,000 on Earthquaker. Its FAQ says that at the limit you can upgrade, and adds: "We never auto-upgrade you." Past those counts the subscriber slider raises the plan price. Billed monthly, Mover is $59 at 500 subscribers, $67 at 1,000, $94 at 5,000 and $119 at 10,000; billed yearly the same steps are $50, $56, $78 and $98 a month.
Paperbell. Paperbell sells one plan: $97 a month, or $970 a year. Its page lists "Unlimited clients and sessions – grow without limits," and its feature list covers a coaching website, client scheduling, payment processing and packages, a client portal, contract signing and client email workflows. The page shows no tiers by client count or list size.
Where systeme.io's Free plan stops for a coach
Free holds one calendar event, so a single paid session sold from a sales page fits it, payment included. The free discovery call is a second event, and that's the line into Startup, at $17 a month ($170 billed yearly) for 5 events and 5,000 contacts. Past five event types, or past 5,000 contacts, the next plan is Webinar at $47 a month with 20 events and 10,000 contacts.
There's one setting I'd change before the first paid booking. The help article on selling bookings explains that the confirmation email goes out when payment starts, which can mean a client gets a confirmation for a session whose payment then fails. The fix sits under Settings, Notifications, Sales, with the option "Send the booking confirmation email only after payment is completed." That line in the help center is why this setting comes before session prices. Coaches who sell a package in installments have a later version of the same problem, and my guide to failed payment-plan installments covers who retries the charge and for how long.
After that, book a test session on your own page. The paid calendar runs as a two-step process on the order form, and walking through it once as a client shows you exactly what they see. Before the first real client books, decide what a late cancellation costs them; my paid-sessions guide covers the deadline, the refund step, and when the free call is worth its plan.
Three coaches, priced
All three coaches below are invented for illustration. The prices are monthly rates each vendor listed on October 9, 2026, except where a vendor shows only a yearly rate. Contacts include every past discovery-call booker, because on systeme.io each one stays on the list.
| Coach (hypothetical) | Event types | Active clients | Contacts | systeme.io | Coachful | Thinkific | Podia | Paperbell |
|---|---|---|---|---|---|---|---|---|
| A: free call + one paid session | 2 | 6 | 600 | Startup, $17 | Solo, $49 | Basic, $54 | Mover, $67 | Flat, $97 |
| B: free call, 1:1, group workshop, intensive | 4 | 25 | 3,000 | Startup, $17 | Pro, $99 | Basic, $54 | Mover, $94 | Flat, $97 |
| C: free call, three programs with intake and session, group | 8 | 40 | 6,000 | Webinar, $47 | Pro, $99 | Start, $109 | Mover, $119 | Flat, $97 |
A. Two event types push systeme.io from Free to Startup. Six active clients are one more than Coachful Lite's five, so Coachful lands on Solo. Thinkific's Basic plan holds both sessions. On Calendly, the two event types and the paid session both need Standard at $10 a seat, with an email tool still to add. Podia prices Mover at the 1,000-subscriber step for a 600-person list: $67 a month. Paperbell is $97, the most in this row, for a practice this small. systeme.io Startup is the cheapest single account that keeps all 600 people reachable.
B. Four event types still fit Startup's five, and 3,000 contacts fit its 5,000. Coachful's meter is the one that moves: 25 clients is past Solo's 20, so the bill is $99 a month, $82 more than systeme.io. Thinkific Basic is $37 more than Startup, with one coaching slot to spare. Podia's Mover at the 5,000-subscriber step is $94, and Paperbell stays at $97. This is the coach systeme.io Startup suits best.
C. Eight event types are past Startup's five and Thinkific Basic's five. systeme.io moves to Webinar at $47; Thinkific moves to Start at $109, $62 more. Coachful stays on Pro at $99, $52 more than Webinar. Podia's Mover at the 10,000-subscriber step is $119. Paperbell hasn't moved: at $97 it's now below Coachful, Thinkific and Podia, and $50 above systeme.io Webinar. Flat pricing pays off as a practice grows; this is the coach for whom I'd look hardest at Paperbell.
For any coach with a free call plus up to four paid session types and fewer than 5,000 people on the list, I'd buy systeme.io Startup. Past that, Webinar at $47 a month carries 20 event types and 10,000 contacts.
When another tool is the better buy
Coachful, when the coaching is the product and the portal matters. Coachful lists things systeme.io's booking pages don't: packages and session credits, session notes, an ICF hours log, a client home with progress and documents. If your clients sit in a six-month program and expect a portal, Coachful's client meter is the honest price of that portal. A practice with a handful of high-ticket clients pays $29 or $49 for it. Its pricing page also says "Coaching with one other coach? Email us and we will work something out." See Coachful's pricing.
One caution from its Trustpilot listing, which showed 4.5 from 32 reviews when I read it on October 9. A 2-star reviewer who tried the free trial wrote that she found "the navigation and actual program building so difficult and confusing that I gave up after a couple of tries." Coachful's reply says it hosts a live 30-minute Q&A "on Mondays, Wednesdays and Fridays" that's open to every coach, and that "the AI tools are optional, and every program can be built by hand." If you trial Coachful, I'd book one of those calls before building your first program.
Calendly, when you already have an email tool you like. If your list lives somewhere you're happy with, Calendly Standard at $10 a seat is a strong scheduler that connects to it. You keep two bills, but you don't move your list. A commenter in r/lifecoaching, asked how coaches handle scheduling and payments, made the case for keeping tools apart: "Fewer things break when they're not bundled, and if you ever want to switch one tool you're not locked into swapping everything." Calendly's pricing page has the plan table.
Thinkific, when the courses come first. A coach whose income is mostly recorded courses, with sessions on the side, gets Thinkific's school, with coaching included up to five products on Basic. Thinkific's pricing shows the caps. If those courses run in cohorts with discussion under each lesson, how Thinkific's lesson discussions use community spaces covers the plan question.
Paperbell, when you want packages, contracts and a portal at one price. Paperbell's list covers what a practice runs on between sessions: packages, contract signing, a client portal and client email workflows. A coach with 40 clients pays the same $97 as a coach with 4, and $970 billed yearly. Its Trustpilot listing is small (14 reviews, TrustScore 3.5 when I read it). The review I'd weigh is a 2-star one describing clients "able to schedule sessions even when I have my process set up to collect payment before they can book." Paperbell replied that it would "troubleshoot your setup directly" by email. Paid booking is the step a discovery-call practice depends on, so before moving clients over I'd run one booking through it end to end with a real card. Paperbell's pricing page has the feature list.
Podia, when coaching sits beside downloads and courses. Podia keeps coaching, digital downloads and email in one account, and its price follows the list: Mover is $67 a month at 1,000 subscribers and $94 at 5,000. It suits a coach whose list stays small next to a product catalog. Podia's pricing lists the counts.
If none of those describes you, the booker test points to systeme.io. If you're also selling a course, my guide to choosing a systeme.io plan as a course creator covers how students add to the same contact count. And if you're weighing a heavier course platform, the systeme.io and Kajabi comparison explains how Kajabi counts coaching programs.
Setting up systeme.io Startup for coaching
Create two events, an individual event for the free discovery call and one for your paid session, plus a group event if you run workshops. Put the free call on its own funnel page, so every booker joins the list your newsletters go to. Attach the paid event to a digital product on an order form and add the Paid calendar element to that page. Before the first real booking, turn on "Send the booking confirmation email only after payment is completed," and book a test session yourself.
I haven't run a coaching practice on any of these tools. Everything above comes from each vendor's pricing page and help center, checked on the date in the sources list. The coaches are illustrations, not customers.
FAQ
Does systeme.io's free plan take paid bookings? Yes. The booking calendar page says payment at booking works on Free through Stripe or PayPal. Free holds one event type, so a free call plus a paid session needs Startup.
Is Calendly enough for a coach? For scheduling, yes. To take payment you need Standard, and to email people who booked you need a separate email tool connected to it.
How does Coachful price its plans? By active clients: up to 5 on Lite ($29), up to 20 on Solo ($49), and no client cap on Pro ($99), as its pricing page lists them.
How many session types does systeme.io Startup hold? Five events and 5,000 contacts, for $17 monthly ($170 on the yearly plan). Past five event types or 5,000 contacts, Webinar at $47 holds 20 events and 10,000 contacts.
Does Paperbell charge more as I take on clients? No. It sells one plan at $97 a month, or $970 a year, and its page shows no tiers by client count or list size.
Does Podia upgrade me automatically when my email list grows? No. Its FAQ says "We never auto-upgrade you." At the subscriber limit you can choose to upgrade, and the slider shows the higher price.
