systeme.io Evergreen Webinar: Build a Same-Day Funnel
An evergreen webinar in systeme.io: the funnel, the mandatory registration date, the webinar emails, and why every reminder must fit inside one day.

systeme.io's help article on automated webinars ends with two answers that shape the whole build. Asked how to make a webinar play on a set date, it says that isn't possible: "leads will only see sessions available for the specific day they visit the page (e.g., "Today at 2:00 PM")." Asked about live webinars, it says: "No. systeme.io currently only supports automated (evergreen) webinars."
Put those two together and the funnel has a shape most webinar advice doesn't fit. Someone registers, picks a session from today's list, and watches later that same day. There's no week-long run-up to fill with reminders and no live date to count down to. Everything between the sign-up and the session happens inside one day. Anything that needs days happens after the session, on a different clock.
So treat it as a same-day funnel from the first click. Every choice below, from the page copy to where the reminders live, follows from that one constraint, and the setting names are written the way systeme.io's help articles print them.
What you need before you start
The help article on automated webinars lists two qualifying plans, Webinar and Unlimited, and the article on webinar emails asks for "A Webinar or Unlimited subscription". The pricing table agrees: the evergreen webinars row reads 0 on Free, 0 on Startup, 10 on Webinar, and the top plan, Unlimited, shows no cap.
| systeme.io plan | Monthly | Yearly | Evergreen webinars | Email campaigns | Automation rules |
|---|---|---|---|---|---|
| Free | $0 | $0 | 0 | 1 | 1 |
| Startup | $17 | $170 | 0 | 10 | 10 |
| Webinar | $47 | $470 | 10 | 100 | 100 |
| Unlimited | $97 | $970 | No cap listed | No cap listed | No cap listed |
Read the evergreen row first: an evergreen webinar funnel starts at Webinar, $47 a month or $470 billed yearly. Startup's extra campaigns and rules don't unlock the funnel type, so there's no point upgrading to Startup on the way. If you only need a recording behind an opt-in, skip to the last section, because the free path does that without any webinar features.
Create the funnel with the evergreen goal
The automated webinars article gives the order: open the Sites tab, then Sales Funnels, then Create; name the funnel, pick Run an evergreen webinar as the goal, and Save.
The funnel arrives with 3 pages by default, listed in the left-hand column: a registration page, a thank-you page and the page where the session plays (the help FAQ calls these the "thank you" and "conference" pages). One constraint to plan around now: "You cannot have multiple webinar pages in a single funnel." If you run two presentations, that's two funnels, and the help center's workaround is a button on one page linking to the other funnel's sign-up page.
The registration page and its mandatory date field
Then, from the same article: select the registration page, choose a template and click Edit page. Open Popups, add one with the + icon, and use Edit popup settings to configure the registration form from the left sidebar. Last, click the webinar date element on the form and set its options.
The help article calls that last setting mandatory, and it's the setting the whole same-day idea hangs on. The date a lead picks is a session on the day of the visit, not a date you choose for them. The marketing page for automated webinars describes the options in its own words, a schedule of "every hour, every day, or "instantly" upon registration", but the help article doesn't list the options, so check them in your editor against your own plan for the day.
What I'd decide here: write the page copy for someone who will watch within hours. A line asking them to pick a time today matches what the form will show. A line promising a date next week doesn't.
A recording that works on any day
The recording is the one asset every registrant sees, whichever day they arrive. systeme.io's blog guide to evergreen webinars says the video goes in on the broadcast page: "You can upload your webinar as a file or enter a direct link."
Its learn page on evergreen webinars gives the editing rule that follows from the format: "Edit out the fluff and any references to today or a specific date, so it never feels dated to a future viewer." I'd extend that to anything time-bound inside the video: an offer that ends this week, a season, a launch you mention in passing. The same learn page also warns against countdown timers that restart on reload, calling a fabricated deadline "a deceptive dark pattern". If the offer has a deadline, it should be a real one that you can keep.
Session reminders on the webinar Emails tab
systeme.io has two places to schedule email for this funnel, and they keep time differently.
The first is the registration page's own Emails tab. There you click + Create and, per email, you can:
- add attachments;
- choose the event that triggers it, either Registration to webinar or Webinar starts;
- set a delay, the doc's example being "15 minutes before the webinar starts";
- set an exact time for delivery;
- paste the variables {webinar_show_link} (the link to that registrant's session page) and {webinar_replay_link} (the replay page).
Only this tab knows when each person's session begins, because it can count from Webinar starts. That makes it the right home for anything timed around the session.
| Clock | Timing | Why it fits a same-day funnel | |
|---|---|---|---|
| Confirmation | Registration to webinar | Straight after sign-up | Carries {webinar_show_link} while the page is still open in their head |
| Reminder | Webinar starts | Shortly before, e.g. 15 minutes | Fits inside the hours between sign-up and session |
| Starting now | Webinar starts | At the start | Same link, for anyone who closed the tab |
| Replay | Webinar starts | After the session's length has passed | Carries {webinar_replay_link} for anyone who missed it |
The webinar emails article's example delay counts down to the start; for the replay row, check that your editor also lets the delay run after Webinar starts, since the doc doesn't show that case.
Every pre-session email is measured in minutes or hours from Webinar starts. systeme.io's learn page on hosting a webinar suggests reminders at 24 hours, 1 hour and 5 minutes before, but that sequence sits in a section built around a live event. In a funnel where the session is the same day as the sign-up, a 24-hour reminder has no room to run. The help article doesn't say what happens to a reminder whose send time has already passed, so I wouldn't schedule one and find out.
The follow-up on the campaign clock
After the replay email, the selling usually runs over several days, and that belongs in an email campaign rather than the webinar Emails tab. Campaigns count from sign-up and from the previous email, not from the session.
To start a campaign when someone registers, the workflow editor has the trigger you need: "Registered to webinar: When a contact registers for an evergreen webinar." Add a Subscribe to campaign action and choose your follow-up campaign. The same help article lists a Delay step in minutes, hours or days, so you can hold the campaign until the session is over. (A rule can also subscribe contacts to a campaign, per the email sequence article, but its trigger examples are opt-in forms, sales and tags, so I'd use the workflow, whose webinar trigger is documented.)
Three points from systeme.io's guide to campaign scenarios matter for a webinar follow-up:
- Sending conditions can push an email back. Each campaign email can have a delay in Days, Hours or Minutes, a specific time and allowed sending days. If a condition isn't met, the email waits for the next window. A weekday-only email after a Friday session can slip to Monday, so check any offer deadline against those windows.
- Edits don't reach people already enrolled. "New conditions apply only to new contacts" who subscribe after the change. Fix timing before the funnel gets traffic.
- Don't switch every email off and back on. The guide warns that reactivating emails resends them to everyone still enrolled, and suggests a new campaign instead.
Two notes from the workflow and rules articles apply too. Workflows don't act retroactively ("Workflows only trigger for events that happen after the workflow is activated"), so build the workflow before the first registrant arrives. And the automation rules article caps any trigger at 20 activations for the same contact, after which rules and workflows stop for that person. That matters only if one contact registers again and again, but it's worth knowing before you test with your own address.
Register as your own lead
The thank-you and conference pages can't be opened by pasting their URLs; the automated webinars article says they only appear after someone registers, and you can preview them in the editor. So the honest test is to register on your own page with a second address, pick today's session and check that each email on the webinar Emails tab carries a working link. The help article on sign-up emails gives the same advice for opt-in pages: register on your own page, and contact support if an email doesn't send.
When live matters more than evergreen
If your presentation depends on live questions, polls or a room you can read, an evergreen funnel isn't the tool, and systeme.io's own automated-webinar page says so: "If you need live interactive webinars with Q&A, polls, and breakout rooms, Zoom is still the better tool". The same caution applies to the learn page's advice to start with a live webinar and record it. That first live run has to happen somewhere else, since the automated webinars article rules out live sessions inside systeme.io. Some systeme.io customers feel that gap. Petal N., a CEO in animation who gave it five stars on Capterra in October 2025 after years on the platform, listed it first among the cons: "Lacks live webinars for the authentic presenting feel". Nicoletta S., an entrepreneur in writing and editing who had just moved over from Digiforma and Brevo, wrote in her five-star review that "for the moment I would like a possiblity to program my collective lives with zoom." Both still rated the platform highly, which is the fair reading: evergreen covers the recorded pitch, and the live room sits elsewhere. If live webinars are central to how you sell, the GetResponse alternatives guide covers which tools host them.
Webinar plan for the session, Free for a plain recording
The plan follows from the funnel goal and the Emails tab. The Run an evergreen webinar goal and the webinar Emails tab both require Webinar or Unlimited, so a working evergreen funnel starts on systeme.io's Webinar plan: $47 a month, or $470 billed yearly, which is $39.17 a month and $94 less than twelve monthly payments. It holds 10 evergreen webinars, 100 email campaigns and 100 automation rules, and its plan summary adds up to 50 funnels and 10,000 contacts. Move to Unlimited ($97, or $970 yearly) only when you need more than 10 evergreen webinars or more than 10,000 contacts.
The free path is real but it's a different thing. On Free you can still build an opt-in page and have a rule send an email the moment someone subscribes, using the Funnel step form subscribed trigger and the Send email action. That email can carry a link to your recording wherever it's hosted. What you lose is everything this guide was about: no session list, no registration date, no Webinar starts clock and no replay variable. Startup gives you more campaigns and rules for the follow-up, but its evergreen webinars row is still 0. So the choice is about what your registrants should experience. If you want them to pick a session today, get a reminder 15 minutes out and a replay link afterwards, Webinar is the plan to start on, and it's the step that makes the recorded pitch feel like an event. If a link to a video is enough for now, stay on Free and move up when you're ready to run it as a session.
FAQ
Can a systeme.io evergreen webinar run on a fixed date? No. The automated webinars article says a fixed calendar date isn't possible; leads see the sessions offered on the day they visit.
Does the free plan include evergreen webinars? No. The pricing table shows 0 on Free and 0 on Startup. Webinar includes 10.
Where do reminder emails go? On the registration page's Emails tab, timed from Registration to webinar or Webinar starts. Since a lead picks a session on the day they visit, those emails have hours rather than days to work with, so time them in minutes or hours before the start. Multi-day follow-up, such as the emails after the session, goes in a campaign instead. Register for one of your own sessions before you send traffic, to see each email arrive when you expect it.
Can systeme.io host a live webinar? No. The automated webinars article says systeme.io currently only supports automated (evergreen) webinars. A live run has to happen in another tool.
Can I put two webinar presentations in one funnel? No. The help center says you can't have multiple webinar pages in a single funnel, so two presentations means two funnels, linked by a button if you like.
Should I send a 24-hour reminder for an evergreen webinar? Not in this setup. Registrants pick a session on the day they visit, so a reminder timed a day ahead has no room to run. Time reminders in minutes or hours from Webinar starts.
