systeme.io vs ClickFunnels (2026): Count the Logins First

ClickFunnels sells seats: 2 on Launch, 5 on Scale, 10 on Optimize. systeme.io sets no assistant cap. Three teams priced for a year on both.

One of the better systeme.io vs ClickFunnels comparisons on the first page of results makes a claim I wanted to check. "Systeme.io is built for one operator," it says, and in its decision table the row "More than one person works in the tool" goes to ClickFunnels. The same page notes, a few lines earlier, that ClickFunnels caps seats: "Two team members on Launch — hiring forces an upgrade before volume does."

The second half is right. The first half doesn't match systeme.io's own pricing table, which has a row called "Assistant accounts" and fills it with "Unlimited" for Free, Startup, Webinar and Unlimited alike.

So the two products don't differ on whether a team can work in them. They differ on what they charge for: ClickFunnels prices the people, systeme.io prices the list. Count the logins first.

ClickFunnels' help article on adding team members repeats the caps: "Launch: Up to 2 team members," Scale up to 5, Optimize up to 10, Dominate up to 20. Its pricing FAQ adds that the platform doesn't take "a percentage of my sales," so seats and contacts are the two things a ClickFunnels bill moves on.

On systeme.io the list is the only thing that moves the bill. Each plan step is a contact step (Free to Startup, Startup to Webinar, Webinar to Unlimited), and the assistant row reads the same on all of them.

That gives two separate counts for one decision. Logins pick the ClickFunnels plan. Contacts pick the systeme.io plan. If you've read elsewhere that ClickFunnels plans hold three or ten sites, that comes from an older ladder: a commenter in r/clickfunnels two years ago explained that "The number of the sites depends on the number of workspaces available on your plan" and put the counts at 3 and 10. The pricing page I read shows 1, 5 and 10. Workspaces are a different question, about running separate brands or clients, and systeme.io's version of that is covered where I priced systeme.io's sub-accounts.

What a second login can do on each

A seat is only worth counting if the person in it can do the job. The two products answer that differently.

ClickFunnels gives each team member roles per workspace. Its help lists Reader, Support, Affiliate Manager, Builder, Community Manager, Marketing and Workspace Administrator. Some are narrow on purpose: "The Customer Support role can only manage contacts and orders but not delete them." Above the workspace roles sit team privileges, which can let a trusted member "Manage billing details" and "Upgrade or downgrade the account subscription plan."

systeme.io has two roles. An assistant can create, edit and delete most of the workspace: funnels, emails, courses, communities, automation rules, products and orders. There are limits. Contacts are "limited to searching by email; full list is not visible," and transactions and subscriptions work the same way. An admin can see revenue, the full contact list and transaction history, and manage payments settings, API keys, webhooks and workspace members, though "Admins can view but cannot export the contact list; only the account owner can do that."

Some sections stay with the owner whatever the role: the profile, "My plan," payment gateways, custom domains and affiliate payouts. On systeme.io nobody but you can change the subscription or the Stripe and PayPal connections. On ClickFunnels you can hand billing to someone else if you want to.

For most small teams, a VA building funnels and a copywriter writing emails, systeme.io's assistant role covers the work. The case for ClickFunnels' list of roles is a person who should touch one thing only, like a support hire who answers customers and can't delete records, or an affiliate manager.

Does the owner take a seat

ClickFunnels' pages don't say. The pricing page lists "2 Team Members" on Launch, and the help article's example describes an owner with four team members as if the owner sat outside the count, but nothing states the rule.

I count everyone who logs in, owner included. If the owner turns out not to use a seat, the count drops by one and you may stay a tier lower. Plan as if they do and you won't be surprised by an upgrade the week you hire.

Count logins, then contacts

  1. List everyone who needs their own login: you, plus each VA, copywriter, designer, support person or contractor. Shared passwords don't count, and both vendors' invitation flows exist so you don't have to share one.
  2. Pick the ClickFunnels plan from that number: 2 or fewer is Launch, up to 5 is Scale, up to 10 is Optimize. Then check the contact row still fits.
  3. Pick the systeme.io plan from the contact count alone: under 2,000 Free, under 5,000 Startup, under 10,000 Webinar, above that Unlimited.
  4. Compare the two annual prices, then ask whether anyone on the team needs a narrow role.

Most of the comparison pages I read rank these two by list size. Counting logins first moves two of the three example teams below up a ClickFunnels tier.

Three teams, priced for a year

These teams are hypothetical. Logins include the owner. Prices are each vendor's annual price.

TeamLoginsContactsClickFunnels plansysteme.io planClickFunnels a yearsysteme.io a year
A: owner and one VA24,000LaunchStartup$970$170
B: owner, VA, copywriter, support48,000ScaleWebinar$1,970$470
C: owner and six helpers730,000OptimizeUnlimited$2,970$970

Team A fits ClickFunnels' entry plan, and the gap is $800 a year.

Team B is the one the seat row decides. At 8,000 contacts it fits Launch's 10,000, so a contacts-only comparison would put it on Launch at $970. Four logins need Scale, which is $1,000 more, so the two seats beyond Launch's cap cost $500 each for the year. On systeme.io, 8,000 contacts is Webinar at $470, and the four logins don't change that. The gap is $1,500 a year. Even if ClickFunnels doesn't count the owner, three helpers is still more than Launch's two.

Team C would fit Scale on contacts, 30,000 against 75,000, but seven logins need Optimize, another $1,000. systeme.io prices 30,000 contacts at Unlimited, $970, the same price as a year of ClickFunnels Launch. The gap is $2,000.

Billed monthly, the gaps are $80, $150 and $200 a month. For B and C, the seat row is what turns a sizable difference into a large one.

When ClickFunnels' seats are worth paying for

  • Someone on the team should only touch one area. A support hire who manages contacts and orders without deleting anything, or an affiliate manager who sees only affiliates, is a role systeme.io doesn't offer. If that control matters to you, it's a real reason to pay for ClickFunnels.
  • You want to hand off billing. ClickFunnels' team privileges can include managing billing and changing the plan. systeme.io keeps the plan and payment gateways with the owner.
  • Your list and your team are both big. Scale pairs 5 seats with 75,000 contacts. If you need both, the seat price comes bundled with contact headroom you'll use.
  • You'd buy ClickFunnels anyway for its selling tools. Order-bump and upsell mechanics, templates and training are where most reviewers say ClickFunnels is stronger. If that's the reason, count seats so you buy the right tier, not to talk yourself out of it. Plans are on ClickFunnels' pricing page. Seats aren't the only line between the tiers: which jobs Launch covers and which need Scale walks through automations and booking.

People do make the move in the other direction. One five-star Trustpilot reviewer in September had used ActiveCampaign with ClickFunnels for about five years; their reason for leaving was ActiveCampaign's cost as the list grew, not seats, and they wrote: "I've now fully switched to Systeme.io and left ActiveCampaign and ClickFunnels behind and I couldn't be happier with the decision." In a May 2025 Capterra review rating systeme.io 5.0, Frank F., a principal in e-learning, said he had subscribed "in sequence, to ClickFunnels and HighLevel" first, and he left because there was too much of it: "Too hard to find my tools, too many features I don't want (AI phone bots, etc.)". If you do switch, my migration walkthrough covers funnels, contacts and the free migration request.

What the pages leave open

  • Whether ClickFunnels' owner uses a seat. Not stated; I count the owner.
  • Whether systeme.io's assistant count is the same on every plan. The pricing table says "Unlimited" for all four plans. systeme.io's team management page says, in its FAQ, that "The number of assistants you can invite depends on your specific plan," and gives no numbers. The table is the more specific source, so I use it, but if you're building a team of five or more on systeme.io, ask support to confirm before you rely on it.
  • What the "Limited Time" label beside ClickFunnels' uncapped funnels means for later. Neither page says.
  • I haven't run a team on either product. Every figure here comes from the two vendors' pricing pages and help centers, read on October 9, 2026; the three teams are made up to show the count.

Which to pick

For a team of four at 8,000 contacts, the two counts come to $1,970 a year against $470. The extra ClickFunnels seats are worth that only if someone needs a narrow role or billing access; otherwise systeme.io's assistant role already covers them.

If the count lands on Startup or Webinar, pick it from systeme.io's plan list and invite your team from Settings, under Workspace members.

FAQ

Can more than one person use systeme.io? Yes. Its pricing table shows no cap on assistant accounts on any plan, including Free. Assistants work through Settings, under Workspace members, with an Assistant or Admin role.

How many team members does ClickFunnels include? 2 on Launch, 5 on Scale, 10 on Optimize and 20 on Dominate.

Can a systeme.io assistant see my revenue? An assistant can't; an admin can. Neither can change your plan, payment gateways or custom domains, and only the owner can export the contact list.

Which is cheaper for a team of four? At 8,000 contacts, systeme.io Webinar is $470 a year and ClickFunnels Scale is $1,970, because four logins don't fit Launch.

When is ClickFunnels the better pick for a team? When someone needs a narrow role, such as support-only or affiliate-only, or when you want another person to manage billing.

Does the ClickFunnels account owner use one of the team seats? ClickFunnels' pages don't say. I count the owner as a seat; if that turns out wrong, you may stay a tier lower, which is the safer surprise.
